Tips for Scheduling Travel Accommodations Like a Pro

When scheduling travel, have all details such as: dates, times and must have items on hand so they can be communicated clearly. Ask for help. Be a professional and treat everyone with respect. Timing of the trip e.g. booking airfare well in advance can result in considerable savings. Examine the locations of venues in advance to determine which hotels are convenient and what transportation is required.
The golden rule applies in the service industry, treat everyone with respect and courtesy. What motivation does someone have to go out of their way to help you if you are overbearing and negative? Ask for help!
Book airfare as soon as you know dates for the trip. At about the three to four week mark fares tend to increase. Fares also vary by day of the week and time of day so check throughout the week. I recently booked international travel and the fare varied by as much as 17%. If you have frequent flyer miles, use them.
If your trip is a couple months off, I suggest using Trip Advisor and or a specific airline’s saved searches for the specific city. You will receive periodic emails with air fare rates, lodging and attractions / things to do.
Hotel rates also vary a bit. Combining lodging and airfare on travel sites can result in savings. Check with the hotel directly to see what they can offer. Sometimes hotels provide breakfast or room upgrades simply by asking. FYI: Hotels store customer profiles so they keep track of spending habits, likes, dislikes and behaviors.
Do your research ahead of time. How is the public transportation? Does the hotel have an airport shuttle? How much is a cab? Need to be somewhere at a specific time? Don’t take on a busy city that you don’t know, hire a car service. Let the reservationist, dispatcher and chauffeur do their job and take care of you so you can focus on the task at hand.
Have all pertinent details on hand. Be courteous. Ask the professionals for help. If you have time, review several options when scheduling travel. Compare the timing of routes, layovers, arrival times and costs. The amount of time in advance booking airfare may have significant savings. Sometimes the least expensive option may not be the most desirable option. Everyone is different and has different expectations, time frames and budgets. After doing your homework, consult the professionals and choose the option(s) that work for you.
